Privacy and Data Protection

The personal information that you supply to the Glasgow South Group of Advanced Motorists and Motorcyclists (“the group”) will only be accessed by authorised persons of the group, and used by us for the purposes described below.  The group’s use of this information is governed by the Data Protection Act 1998 and the EU General Data Protection Regulation (GDPR).

Other than when required by law, your information will not be shared with any other organisation without your consent.

Website Account Registration 

The personal information that you supply to the group when you register for an account on this website will be entered into a filing system and will be used for the purpose of:

  1. providing you with access to the restricted area of the website;
  2. communicating with you in relation to such access, e.g. sending you account password reset notifications.

By completing the registration form and supplying this information, you consent to the group storing your information for these purposes. This information will be retained for as long as you have an account on the website.  You can have your account removed by contacting the group secretary.

 

Website Contact Forms

The personal information that you supply to the group when you complete one of the contact forms on this website will be entered into a filing system and transmitted electronically to authorised persons of the group. The information will be retained by the group and will be used for the purpose of:

  1. responding to your query.

By completing a contact form and supplying this information, you consent to the group storing your information for this purpose.  The information will be retained while we respond to your query.

 

Membership and Gift Aid Forms

You may be asked to complete a membership form when you join the group, and we will also send you a form to complete when your group membership is due for renewal every January.  At this time, you will also be given the option of completing a Gift Aid form.  The personal information that you supply to the group when you complete a membership or Gift Aid form will be entered into a filing system and accessed by authorised persons of the group, including the independent examiner who is nominated to examine our accounts.  The information will be used for the purposes of:

  1. group administration, including keeping track of our membership and sending invitations to our AGM and information about membership renewal;
  2. informing you about forthcoming events and activities;
  3. sending you a copy of our group newsletter;
  4. fulfilling our legal obligations, such as the requirement to keep records for Gift Aid.

By completing and signing a membership or Gift Aid form, you consent to the group storing your information for these purposes.  The information will be retained for as long as you remain a member of the group, plus any period legally required, e.g. that required by HMRC in relation to Gift Aid claims.
